Roles & Responsibilities

POSITION PURPOSE:

To provide the Director support in the form of an effective communication, secretarial, administrative services, office organization and coordination related works. Reporting directly to the Operations Manager.

ESSENTIAL FUNCTIONS AND BASIC DUTIES:

1. Responsible to the Operations Director Only.

2. Supports the Operations Director directly as the go-to person for all needs, including running errands as requested, daily administration, schedule and arrange meetings and conferences, manage travel arrangements and itineraries on behalf of the employer, project coordination, preparing and delivering presentations, answering calls and liaising with clients/staff independently, reading, monitoring and responding to the Operations Director’s email etc.

3. Conserves Director’s time by reading, researching, and routing correspondence; preliminary drafting of correspondence; collecting and analyzing information; and initiating telecommunications.

4. Attending Client meetings/social events with the Director and taking action points and writing minutes during meetings.

5. Work timing will need to be flexible as per Directors Schedule and requirements, assisting him with Financial, Secretarial, Administrative and Marketing aspects of the Group of Companies. Liaising directly with the Operations Director.

6. Typing and dispatch of all correspondence – letters, memos, minutes of meetings, schedules, etc. as instructed including self-correspondence (when required).

7. Traveling locally and internationally along with Director. Also handles liaising with hotel agents, travel agents and other agencies, making bookings, reservations and arranging meetings on behalf or the Director.

8. Oversee updates on company’s website and social media platforms.

9. Ad hoc duties and exercises as required

Desired Candidate Profile

QUALIFICATIONS

EDUCATION/CERTIFICATION:

Degree/Diploma or equivalent

REQUIRED KNOWLEDGE:

Computer skills (MS Office Applications – Word, Excel, PowerPoint, etc.)

WORKING CONDITIONS:

as per the United Arab Emirates Labour Law.

Ability to apply logical or scientific thinking and approach to a practical problem
