Job Purpose: Manage & monitor the overall administrative function for the respective airline services department to ensure an effective service is provided to its personnel (both management and employees), whilst managing the administrative work processes/ systems, in accordance with the Company's Employment Regulations Manual and Standard Operating Procedures, towards continuous improvement. Job Accountabilities: - Administer staff related functions viz. Attendance, Training, Leave, Performance Matters, Employee relations etc. to ensure that the services provided meet both staff and operation needs, in compliance with Corporate standards and time lines. Process attendance amendments, review & process sensitive cases linked to medicals, industrial injury, police detention, staff grievances, etc on the lines of ERM/department regulations. Conduct periodic analysis on overtime, absence, sickness data and highlight trends to management with a view to curtail costs, address irregularities in support of good work practices, assist management in the analysis of variance in the reports related to administrative areas e.g. outsource costs, OT, etc with a view to help control operating costs. - Conduct investigations on matters relating to training no shows, absenteeism, non-compliance to ensure disciplinary procedure is followed when required. Co-ordinate the allocation and assignment of staff to ensure that training requirements are fulfilled (e.g. validity, mandatory trainings related to the training progression charts, etc.) to maintain employee morale and help build a reliable, well trained work force. Prepare termination reports for senior management/ HR approval towards dismissal of employees, within the scope of Company's Disciplinary Code. - Participate in budget preparation by providing statistical data related to administrative areas such as manpower levels, Staff Transport, Health Card & Visa Renewals etc to enable management forecast/ project growth for the next fiscal year, partake in subsequent review meetings with line manager. - Review manpower budgetary requirements with management, keeping track of staff movement and initiate senior management approvals towards filling the positions in liaison with Recruitment to ensure that the manpower turnover is maintained on lines of the budget. Conduct selection interviews up to supervisory cadre, if required. - In conjunction with the management and Quality experts, ensure all relevant documentation is properly maintained and distributed in keeping with ISO standards including review of ESS surveys on existing admin systems and implement process improvement. - Manage staff related processes involving the Induction of new hires, EK group ID issuance, profile set up and access management for R&CC systems (ResConnect, Sabio Knowledge Hub, CRIS) and Stationery control by ensuring compliance with established procedures and in liaison with third parties. - Participate in weekly management meeting and implement management decisions concerning employee administrative matters. Represent the department, as part of the working group on key projects/ work assignments related to Quality, Operations, IT Systems, etc as necessary and required and drive enhancements for the user department. - Manage and oversee responsibility over all department based assets (PCs, furniture, equipment) and operational inventory from procurement stage to servicing and disposal in order to ensure proper accounting of all capital and non-capital assets. Manage and maintain department based facilities and keep accurate records to validate present and future requirements for EK stakeholders on all related items.
Qualifications & Experience: Qualifications: - Administration/General administration : 5+ Years - Degree or Honours (12+3 or equivalent) Knowledge/skills: - Excellent interpersonal and communication skills - Sound knowledge of the administrative work procedures & Company Employment Regulations/ policies - Knowledge of the Company systems like TERGEN, ETHOS, Leave module, HR Direct, HR Warning module, P2P manpower system, etc. - Successful completion of courses related to selection interviewing, coaching/ counselling techniques, project management Safety Sensitive Role: No Leadership Role: Yes
