Role:
Receptionist is the first point of contact that anyone has when reaching out to Parsons. Due to the cultural and geographical customs in the region, the role of receptionist is important because of the first impression that potential clients, customers, employees, or partners have with our business. However, receptionist is much more than greeters in Parsons, they have many different duties and work.
What You'll Be Doing:
Welcome guests
Connecting guests to appropriate staff
Create a positive and memorable experience for customers, clients, partners, employees, anyone that walks in or calls the place of business
Call Management - Answer, screen, and forward phone calls
Schedule and confirm appointments, meetings and maintain calendars for VC Rooms
Take messages
Courier/Mail Management, Domestic and International
Incoming – outgoing project documents from various project offices
Accept mail and courier deliveries, Arrange outgoing courier services
Increases security by determining who get access to the office
Inform employees of visitors’ arrivals or cancellations
Send correspondence via emails
Assists the delivery team in all aspects of Facilities Management activities in a complex building or other multiple sites.
Actions work requests to ensure a satisfactory outcome is achieved liaising directly with requester
Act as a member of location Safety Team and Incident Management Team
Collaborates with IT, Security and Safety specialists as required
Visitors Management (issuance of visitor’s badge, maintain visitors log)
Process Vendor Payment requests
Manage Lost and Found, Subscriptions etc.
Deputizes for Facilities Supervisor during absence (PTO, PTI etc.)
What Required Skills You'll Bring:
A degree or equivalent of 2 to 3 years of relevant experience as well as general office experience.
Good business English and general office practice skills are required.
Additionally, computer literacy with standard word processing, spreadsheet, and database software, and a typing skill at 50 words per minute, also preferred.
